Using a special report for a specific service

You can use a report other than the one set in the message group when an order with a specific service generates a notification or a shipping document. This makes it possible to tailor notifications for different services, for example, without having to create entirely new notification subscriptions with other reports. This can be done as follows:

  1. Decide for which service a different report is to be used and find out which message group is used for the customer(s) for which the exception is to be made. See How Opter chooses reports for notifications and shipping documents.
  2. Click on Settings > Messages and select the message group from the list on the left.
  3. Go to the Exceptions tab.
  4. Select the service in the Service type column.

    If you want to use other reports for all notifications and shipping documents for that particular service, click on Add a row for each message. 28 rows are then added to the table, one for each notification and shipping document in the message group. This can be useful where, for example, an extra logo or a text line are added for eco-compensated transport.

  5. Select the report that is to be used in the Report column. If you do not want to use any of the existing reports, click on Settings > Reports to create a new one.

  6. Click on to save all changes.

If an exception is added, a value must be selected in each column of the table, otherwise the exception cannot be saved. In other words, it is not possible to create an exception that involves not sending a notification or creating a shipping document for a particular service. The exceptions apply to all customers for whom the message group is used.

To delete an exception, select the row and press Delete on the keyboard.

Example

Pre-notifications are sent to receivers before all courier deliveries, but you want to send out a different text for express courier deliveries to the customer E-tailer Ltd, as changes can occur at short notice. The service used for express deliveries is called “Express” and the customer E-tailer Ltd uses the “Courier notifications” message group.

So you first create the report “Notification Express”, which contains the text you want to send out, and then make an exception for the “Express” service for the “Courier notifications” message group. In the Report column, select the “Notification Express” report.

Please note that the exemption applies to all the customers that use the “Courier notifications” message group and the “Express” service, not just E-tailer Ltd.
