Automatic notifications, known as notification subscriptions, can be configured in this window. The options in the window differ slightly depending on the way you open the window, and the list on the left only shows the notification subscriptions that you have configured after opening the window in the same way.

General

Take email address from/Take telephone number from

The address or telephone number to which the notification is sent.

Manual: Enter an address or number in the Email address/Phone number field below.

Receiver: the address/number is taken from the Email or Phone field in the Receiver box in order reception.

Sender: the address/number is taken from the Email or Phone field in the Sender box in order reception.

Customer: the address/number is taken from the customer registry.

Reference: the address/number is taken from the customer reference.

Email address/Phone number

If you have chosen to enter an address or telephone number manually, enter the address/number in this field. Otherwise, information text will be displayed about where the address is taken from.

Message

This drop-down list is only displayed when the window is opened from Home delivery settings.

Select the message (and therefore the report) to be sent out.

Note:

If you select anything other than [Default] in both the Message and Notification drop-down lists below, the report you select in the Notification drop-down list will be used.

For the selection you make in the Message drop-down list to take effect, you must select [Default] in the Notification drop-down list.

Availability

FunctionExplanation
Use in order receptionThe notification applies to orders created in order reception.
Use in internet ordersThe notification applies to orders created on the customer web. If this checkbox is selected, the notification subscription will appear by default in the order form on the customer web.
Use in EDI ordersThe notification applies to orders created via EDI.

Triggered

These checkboxes are only displayed if you open the window from the customer registry.

Triggered by payer

This notification applies if the customer is shown as the payer of the order in order reception.

Triggered by sender

This notification applies if the customer is shown as the sender of the order in order reception.

Triggered by receiver

This notification applies if the customer is shown as the receiver of the order in order reception.

Reports

Notification

Use this drop-down list to manually select the report to be used for notification, instead of this being done automatically based on the settings in the Messages window.

Note:

If the Notification subscriptions window has been opened from the Home delivery settings window, the Message drop-down list will also appear.

If a selection has been made in both the Message drop-down list and the Notification drop-down list, the report selected in the Notification drop-down list will be used.

Freight bill

Choose whether freight bills should be attached to the notification and, in that case, which report should be used. Freight bills cannot be attached if SMS has been chosen as the method.

  • [None] (default): no freight bills are attached.
  • [Default]: the reports specified for the freight bill messages in the message group selected for Messages on the Details tab of the customer registry are used.
Package label

Choose whether package labels should be attached to the notification and, in that case, which report should be used. Package labels cannot be attached if SMS has been chosen as the method.

  • [None] (default): no package labels are attached.
  • [Default]: the report specified for the Package label message in the message group selected for Messages on the Details tab of the customer registry is used.

Triggers that will generate notifications

Depending on the category selected in the Category drop-down list, a list of events in the order that can generate notifications will be displayed. For example, if the Deviation category is selected, a list of deviation types for which notifications can be sent is shown.

The deviation types, statuses, proof of delivery types and so on that can be selected for the different categories depend on what has been configured in the system.

Status

Notifications are sent when an order reaches the status or statuses you select.

Report that is sent out: the one selected for the Notification (email) or Notification (SMS) message in the Messages window.

Deviation

Notifications are sent when deviations of the types you select are registered on an order.

Report that is sent out: the one selected for the Deviation (email) or Deviation (SMS) message in the Messages window.

POD

Notifications are sent when a proof of delivery of the types you select is created on an order.

Report that is sent out: the one selected for the POD (email) or POD (SMS) message in the Messages window.

Vehicle movement

Notifications are sent when a manual registration of the arrival or departure of a vehicle from a terminal takes place in dispatch.

This notification is always sent by email, first to the customer reference and then to the customer, regardless of the settings in this window.

Report that is sent out: the one selected for the Notification vehicle movement (email) message in the Messages window.

Checklist

Notifications are sent when the checklists you select are registered on the order.

Report that is sent out: the one selected for the Checklist notification (email) or Checklist notification (SMS) message in the Messages window.

Route optimised

A notification is sent when route optimisation has been carried out on the order, i.e. when there is a date and time interval within which the delivery will take place.

Report that is sent out: the one selected for the Notification (email) or Notification (SMS) message in the Messages window.

First scan

A notification is sent when the order is scanned for the first time, for example when it is picked up from the sender or at a terminal.

Report that is sent out: the one selected for the Notification (email) or Notification (SMS) message in the Messages window.

First scan at last terminal

A notification is sent when the order arrives at the last terminal before delivery to the receiver.

Report that is sent out: the one selected for the Notification (email) or Notification (SMS) message in the Messages window.

Departure scan at last terminal

A notification is sent when the order departs from the last terminal for delivery to the receiver.

Report that is sent out: the one selected for the Notification (email) or Notification (SMS) message in the Messages window.
