Attaching files to invoices
Obs!
There is a checkbox on the Invoice information tab in the customer registry called Invoice attachment. This is not the checkbox that controls whether attachments are printed when printing. The purpose of Invoice attachment is to be able to print a note on the invoice to show that physical documents (such as freight bills) should be attached.
Files can be attached to invoices in several ways:
To set up automatic printing of attachments with invoices, use the Invoice template scheme window and Attachments column in the Exceptions for reminders and special invoice types box. Follow the instructions in Invoice template scheme, window and Default settings for invoices.
To allow attached files to be sent as attachments to PDF invoices sent to your customer by email, proceed as follows:
Click on Economy > Invoices > Invoice export.
Select your invoice export for PDF from the list on the left and go to the File transfer tab.
Select one of the following from the Attachments drop-down list:
- In invoice printout: treats the invoice and its attachments as a single document when they are sent to the printer.
- Separate printout: treats all the attachments as a single document, separate from the invoice, when they are sent to the printer.
- Separate printout for each attachment: treats each of the attachments, and the invoice, as separate documents when they are sent to the printer.
Enter the maximum size of the email, including attachments, in the Mail size limit (MB) field. If the size of the email exceeds the specified maximum size, the attachments will not be sent.
TipIt is common for receivers to reject emails that exceed a certain size. The limit varies from receiver to receiver and is not known by default. We recommend specifying a maximum size of 5 MB.
To avoid the problem of emails becoming too large, attachments can be sent as links instead, either directly in the text of the email or in the PDF invoice itself. Contact for more information.
