Special rules (window)

Last updated: 8 September 2026

Economy > Invoices > Fuel extra > the button in the column Special rules

In this window, you can set a different percentage for the fuel surcharge depending on whether, for example, the order has a specific price list or customer code.

Instead of creating special rules, you can create a separate fuel extra set.

Column

Description

Extra

Here, you enter the fuel extra rate to be applied to the special rule, as a percentage.

Difference

Shows the difference between the fuel extra rate for the special rule and the original fuel extra rate (the standard surcharge).

Customer code

In these fields, you can select when the special rule should apply. Where the value is specified on the order, the fuel extra set out in the special rule applies instead of the standard fuel extra (standard surcharge).

Column Pricing applies both when the item is used to price services and when it is added manually to the price item line on an order. This means that an order may have different fuel extra rates on different price lines if you have a special rule for a price item that is added manually to the order, whilst other price items – without special rules – have been used to price the service on the order.

You must select a price list in order to choose a price item.

Example

If you have agreed with a particular customer that you will not apply any fuel extra to small delivery vans, as they are electric, you can create a special rule for that price vehicle type (1) and that customer (2):

The special rules apply for the same period as the overarching fuel surcharge. If you want to apply a special rule for a limited period, you can create two new rows under the parent fuel allowance. A line containing the special rule and the date on which it is to come into force, and a line excluding the special rule from the date on which it is to cease to apply.

If we want our special rule above to apply for only two years, it might look like this in the overarching rule. The special rule is set out on the first line. In two years’ time, on 8 September 2028, a new fuel extra will come into force, with the same percentage rate but without the special rule.
